Closed beta — pre-launch. PLAYERIN is currently invite-only, restricted to UK residents aged 18 or over. Squad Fill / Find an event and child-profile features are paused while our safeguarding and Children's Code compliance review is in flight. By using PLAYERIN during this beta you accept these Terms and acknowledge the service is pre-launch software not intended for public sign-up.

Who we are

PLAYERIN is a sports organisation and booking platform operated by PLAYERIN Ltd, registered in England and Wales. By creating an account or using PLAYERIN, you agree to these Terms. If you do not agree, please do not use the Service.

Who can use PLAYERIN

  • You must be at least 13 years old to create a PLAYERIN account.
  • If you are under 18, you confirm that a parent or guardian is aware of your use of the Service.
  • Children under 13 may only have a profile created on their behalf by a parent or guardian, via the child profile feature within a parent's account.
  • You agree to provide accurate information and keep your account up to date.

Types of account

PLAYERIN has three account types, each with different features and pricing:

  • Player Account — for individuals booking events and managing their participation. Always free.
  • Team Manager Account — for organising events and managing a team. Three tiers: Team Free (£0, manual payment only, capped at 1 event per week), Team (£0 Pay-As-You-Go with card payments switched on, unlimited events, 5% per card transaction), or Team Pro (£6/month, unlimited events, 1.2% per card transaction).
  • Club Admin Account — for clubs managing multiple teams. Two tiers: Club (£0 Pay-As-You-Go with card payments switched on, 5% per card transaction) or Club Pro (£15/month flat, unlimited team manager seats, 1.2% per card transaction). A club must run on one or the other. “Unlimited” team manager seats are subject to a soft cap of 25 to deter automated abuse — clubs that genuinely need more can email info@playerin.games and we'll lift the cap.

Stripe's payment processing fee (currently 1.4% + 20p per UK card transaction) applies in addition to the PLAYERIN percentages above on every card payment. The Stripe fee is always added on top of the player's total at checkout, so the team or club receives the booking value clean. See “Platform fee” below for the full breakdown.

Subscriptions and payments

Subscription plans

Paid plans are billed monthly. We may update pricing with at least 30 days' notice. Continued use of the Service after a price change constitutes acceptance of the updated pricing. You may cancel your subscription at any time. Cancellation will take effect at the end of the current billing period.

Payment processing

PLAYERIN is not the merchant of record for any transactions between players and organisers. All payments are processed via Stripe on behalf of the organiser. PLAYERIN does not hold funds and is not responsible for refunds, disputes, or chargebacks between players and organisers.

Stripe Connect — card payment processing

Team managers and clubs may connect a Stripe account to accept card payments from players. You can connect as an individual, sole trader, registered business, or registered charity / non-profit — Stripe will verify your identity as required by UK anti-money-laundering regulations. By activating Stripe Connect you also agree to Stripe's Connected Account Agreement.

If you connect as an individual or sole trader, you are solely responsible for any personal tax obligations arising from payments received through the platform. Registered charities and non-profits are subject to their own regulatory and reporting requirements. PLAYERIN does not provide tax or regulatory advice and is not responsible for your reporting.

Platform fee

When card payments are processed through PLAYERIN, a platform fee applies as follows:

  • 1.2% of the booking value when on Team Pro (£6/month) or Club Pro (£15/month). Team Pro and Club Pro are paid subscriptions.
  • 5% of the booking value when on the Team or Club Pay-As-You-Go tiers (no subscription, card payments switched on).

Stripe's payment processing fee (currently 1.4% + 20p per UK card transaction) is always added on top of the player's total at checkout so that the team or club receives the booking value clean and PLAYERIN nets exactly the platform percentage above. Stripe's headline rate may change from time to time; the rate in effect at the time of the transaction applies.

Card bookings have a minimum value of £2 per player. Events with a per-player cost below £2 cannot accept card payments — the organiser must either raise the cost or run those events on manual payment.

Club admins and team managers configure how the PLAYERIN portion of the fee is split between the club and the player via the fee split setting in their account. A 100% player share means the PLAYERIN fee is added on top of the booking value at checkout; a 0% share means the club absorbs the PLAYERIN fee out of the amount transferred to their bank. Any split in between is proportional. The Stripe processing fee is always covered by the player and is not subject to the slider. Changes to the fee split only apply to future bookings.

Manual payments

Players may pay by cash or bank transfer (“manual payment”) where enabled by the organiser. PLAYERIN is not responsible for manual payment disputes.

Refunds

Refund decisions for individual bookings are at the discretion of the team manager or club admin running the event. PLAYERIN provides tools to issue refunds inside the platform but does not initiate or guarantee refunds on behalf of organisers.

The PLAYERIN platform fee is non-refundable. When a card-paid booking is refunded — whether by the organiser through the in-app Refund button, by a full-event cancellation, or by the organiser via the Stripe dashboard — PLAYERIN retains the platform fee in full. The fee covers PLAYERIN's payment processing and operating costs. Card processor fees charged by Stripe on the original transaction are also non-refundable in line with Stripe's terms.

How this interacts with the fee split. The platform fee is non-refundable from whichever party paid it. If the club has set the fee split so the player covers 100% of the fee, the player's refund is reduced by the full platform fee. If the club absorbs some or all of the fee, the player's refund is only reduced by the portion they actually paid — the club's portion is deducted from the amount transferred back to the club instead. The Stripe processing fee paid by the player at checkout is also non-refundable. Either way, the total platform fee on the booking is retained by PLAYERIN and nobody pays more of the fee on refund than they paid at booking time.

Events and participation risk

Participation in sports and physical activities involves inherent risks, including the risk of injury or illness.

PLAYERIN is a platform that facilitates the organisation of events and does not organise, supervise, or control any games or activities. Organisers are solely responsible for the safe running of their events.

By participating in any event arranged through PLAYERIN, you do so at your own risk. PLAYERIN shall not be liable for any injury, loss, damage, or incident arising from participation in any event, whether caused by the organiser, a third party, venue, or any other factor.

Squad Fill and open events

"Squad Fill" lets teams and clubs open specific events to players outside their team via the public Event Directory. Participation is entirely optional for both sides — teams choose whether to open events, and players choose whether to join.

Ability ratings are not guarantees. Player self-ratings and manager verifications are indicative only. PLAYERIN does not guarantee the accuracy or reliability of any rating. Team managers accepting a Squad Fill request are solely responsible for assessing whether a player is a suitable addition for the event.

League registration remains the organiser's responsibility. If your team is part of an affiliated league that requires formal player registration, opening an event to Squad Fill does not satisfy that requirement. You are responsible for ensuring any necessary external registration is completed before the event.

Children are excluded from Squad Fill. Players under 16 and child profiles are not available through the Squad Fill directory regardless of opt-in. Events run for under-16s may still appear in the directory but no personally identifiable information about any child is ever exposed through this feature.

Age matching. Find An Event requires a date of birth on your profile. We match your age against each event's age range strictly, in both directions. The age you declare is used solely for this match and is not disclosed to other users.

Reliability and self-rating exposure. When you request a Squad Fill spot on a team you aren't a member of, the team's manager sees your name, email, current self-rated level, how many managers have verified it, and your rolling 90-day reliability score (attended, drop-outs after confirming, no-shows). This is the information they use to accept or reject your request. You can clear your rating or stop requesting at any time. Under the UK GDPR our lawful basis for this cross-team data flow is legitimate interest.

Payment holds, rejection + withdrawal. Squad Fill events in "review" mode authorise your card (Stripe places a hold) when you request, but do not charge it until the manager approves. If the manager rejects, the hold is released and no charge is made. You may withdraw your own request at any time up to 24 hours before kick-off — within the last 24 hours, withdrawal is locked so the manager isn't left scrambling. Requests left pending for more than 7 days expire automatically, and the hold is released.

Guest status. A Squad Fill approval adds you to that team's records as a "guest" — not a full member. Guests don't automatically receive game invites and don't appear in the team roster. The manager may invite you to properly join the team after the event; accepting is optional.

Trust ratings are anonymous business feedback. Post-event trust ratings are submitted anonymously by confirmed players of the specific event. Aggregate averages may be displayed on team pages and directory search results. Ratings that appear to be submitted maliciously or in bad faith may be removed at PLAYERIN's discretion.

Player safety and organiser verification

PLAYERIN does not vet, certify, accredit, background-check or otherwise verify the team managers, club admins, coaches, venues or other third parties using the platform. Listing on PLAYERIN is not an endorsement or recommendation of any organiser. Anyone can sign up to PLAYERIN and create an event.

It is your responsibility to satisfy yourself that an event and its organiser are safe and suitable before attending. We strongly recommend that, before booking onto an event with an organiser you don't already know and trust, you:

  • Look the team or club up independently and check for an established presence outside PLAYERIN.
  • Confirm who is running the session in person and the venue it's being held at.
  • Where children are involved, ask the organiser about safeguarding, qualifications and supervision arrangements directly.
  • Avoid making payments outside the PLAYERIN booking link.

Our full guidance is published at playerin.games/safety. By booking an event through PLAYERIN you confirm that you have read and accept that guidance, and that you are responsible for your own safety and the safety of any child or vulnerable person you book on behalf of.

PLAYERIN shall not be liable for any harm — physical, emotional, financial or otherwise — arising from the conduct of any organiser, coach, venue or other event attendee, before, during or after an event. If you become aware of behaviour that breaches our Terms or puts a person at risk, please contact info@playerin.games. If a child is in immediate danger, contact the police on 999 first.

AI features and fair use

PLAYERIN includes AI-powered features (powered by Anthropic Claude) to help with game organisation, communication, and scheduling. By using these features, you agree that:

  • AI outputs are informational only. They are provided for convenience and may not always be accurate, complete, or appropriate. They are not professional, legal, medical, financial, or safeguarding advice.
  • You review before acting. You are responsible for reviewing any AI-generated content (drafted messages, suggested setups, proposed actions) before sending or confirming it.
  • No warranty of accuracy. PLAYERIN does not warrant that AI outputs are correct or fit for any particular purpose, and is not liable for decisions or outcomes based on AI-generated suggestions.
  • No sensitive data. You will not submit sensitive personal data to AI features. That includes payment card numbers, passwords, medical or health information, and personal data about anyone other than yourself or those you are authorised to act for (e.g. your child profile, your team's players in your organiser capacity).
  • Lawful use only. You will not use AI features to generate spam, abuse, harassment, defamatory content, or misleading information; or to attempt to reverse engineer, jailbreak, or misuse the underlying model.
  • Conversations are not stored on PLAYERIN. AI conversations live only in your browser session. Where you instruct the AI to take an action (create a game, send a reminder, approve a request), the action's output is stored in the same way as if you had performed it manually — see the privacy notice for how that data is handled.

PLAYERIN reserves the right to limit, suspend, or disable AI access where misuse is suspected.

Expectations of use

PLAYERIN's free Pay-As-You-Go plan is offered in good faith to teams and clubs who actively use the platform for organising events and collecting payments.

We reserve the right to review free PAYG usage and, at our discretion, to revoke free access where we reasonably believe the platform is not being used for its intended purpose. As a guide, we expect active PAYG accounts to process a minimum of 10 online card payments per month to sustain free access. This is not an automated threshold — we will always review usage fairly before taking any action.

Where we identify potential misuse or sustained inactivity, we may contact you before making any changes to your account status.

Acceptable use

You agree not to:

  • Provide false information when booking or creating an account
  • Harass, abuse, or threaten other users
  • Attempt to access another user's account or data
  • Use automated tools to scrape data from PLAYERIN
  • Use the platform for any unlawful purpose
  • Generate or distribute spam, abusive, or misleading content via any PLAYERIN feature

We reserve the right, at our sole discretion, to suspend or terminate any account at any time, with or without notice, where we believe there has been a breach of these Terms or misuse of the Service.

Organiser responsibilities

Team managers and club admins are responsible for:

  • Ensuring events comply with applicable laws and venue rules
  • Appropriate safeguarding where under-18s are involved
  • Manual payment disputes with players
  • Accuracy of game information provided to players
  • The safe running and supervision of all events they organise

PLAYERIN is a platform provider only. We are not responsible for the conduct, safety, or outcomes of any events organised through the Service.

Children and young people

  • Under 13s cannot create their own accounts. A parent or legal guardian must create and manage a child profile on their behalf. By doing so, you confirm you are the parent or legal guardian and consent to their data being stored as described in our Privacy Policy.
  • Parents and guardians can view, edit, and delete child profiles at any time in the PLAYERIN Portal, or by contacting info@playerin.games.
  • Under 18s may create their own accounts from age 13. Organisers are responsible for appropriate safeguarding at events involving under-18s.

Parent and guardian responsibility

By booking a child onto any event through PLAYERIN, the parent or guardian acknowledges and agrees that:

  • You are the child's parent or legal guardian and have the authority to consent to their participation.
  • You are responsible for verifying the safety, suitability and legitimacy of the event and the organiser before the child attends. PLAYERIN does not perform DBS checks, accreditation checks or background checks on any organiser, coach or venue.
  • You are responsible for satisfying yourself that the organiser has appropriate safeguarding arrangements in place — including, where applicable, qualified coaches, first-aid cover, and a clear under-18s policy.
  • You are responsible for arranging supervision of the child's arrival, attendance and departure, and for any decision to leave the child in the care of the organiser.
  • You accept that PLAYERIN shall not be liable for any harm — physical, emotional, financial or otherwise — that the child may suffer in connection with an event, regardless of the cause.

Every child-booking flow links to our safety guidance for parents. Full guidance is at playerin.games/safety. We strongly recommend reading it before booking a child onto any event with an organiser you don't already know and trust.

By ticking the parental consent box on a child booking, you confirm that you have read the safety guidance and that you accept the organiser — not PLAYERIN — is responsible for safeguarding at that event.

Notifications and communications

  • Service notifications (booking confirmations, waitlist updates, game cancellations) are necessary to deliver the Service and cannot be fully disabled.
  • Team communications (game invites, fill alerts, manager messages) can be turned off per team from your PLAYERIN Portal at any time.
  • Marketing — we will not send marketing emails without your explicit consent, which you can withdraw at any time.
  • Before sending any team communication, PLAYERIN automatically checks whether each player has notifications enabled for that team.

Player database and marketplace

Your profile is visible to team managers and club admins of teams you have booked with or joined.

We intend to introduce an optional marketplace that allows players to be discoverable by local teams. Participation will be entirely opt-in and will require your explicit consent. We will notify all users before this launches.

We do not sell your personal data. Data is shared only with Stripe, Resend, and Twilio as required to operate the Service. These providers act as data processors on our behalf in accordance with our Privacy Policy. See our Privacy Policy for full details.

Intellectual property

All rights, title, and interest in PLAYERIN, including its technology, branding, and features, are owned by PLAYERIN Ltd.

You may not copy, reproduce, distribute, or reverse engineer any part of the Service without our prior written consent.

Indemnity

You agree to indemnify and hold harmless PLAYERIN, PLAYERIN Ltd, and its directors, employees, and affiliates from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from:

  • Your use of the Service
  • Any event you organise or participate in
  • Your breach of these Terms
  • Any content you submit or share on the platform

Limitation of liability

  • PLAYERIN is provided “as is” without warranties of any kind. We do not guarantee that the Service will be uninterrupted, secure, or error-free.
  • We are not liable for indirect, consequential, or incidental loss from your use of the Service.
  • Our total liability in any 12-month period shall not exceed the subscription fees you have paid us in that period.
  • Nothing in these Terms limits liability for fraud, death, or personal injury caused by our negligence.

Force majeure

PLAYERIN shall not be liable for any failure or delay in performance caused by events beyond our reasonable control, including but not limited to outages, third-party service failures (including Stripe), internet disruptions, or acts of God.

Changes to these terms

We may update these Terms from time to time. We will notify you of material changes by email or in-app notification at least 14 days before they take effect. Continued use of the Service after that point constitutes acceptance.

Governing law

These Terms are governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
